What’s new in Aiwyn Practice

Project Billing tab: client billing schedule management

The Project Billing tab in Draft Invoices gives billing teams a single view of how every client and project billing details. Search any client or project to see whether it’s on a schedule, what type it is (fixed fee or hourly), how often it bills, the invoice amount, and when the next invoice generates.

Because the tab covers your whole book of business, you can also work across clients rather than one at a time — filter to a billing frequency, scan upcoming invoice dates, or pull up a single client directly, all without leaving Draft Invoices.

Why this matters

Billing setup is now something you manage as a book of business rather than a record at a time. Answering questions like “which clients are on a recurring schedule?” or “what’s generating next week?” now takes a search instead of a drill-down into each client and project.

What’s new in Aiwyn Experience

File API: build your own document workflows on Aiwyn Client Experience files

A set of open API endpoints lets your technical team route Aiwyn files from to your own document system, whether that’s SharePoint, Box, M-Files, or something you built yourself. Real-time event notifications tell your system when files arrive or change, so you’re not polling for updates.

The developer reference is published at api.doc.aiwyn.ai. Your team can start building against it today.

Why this matters

Firms with an established document system and developers on staff don’t want a second place where client files live. The File API lets you keep Aiwyn as the collection point and your DMS as the system of record, with the sync logic under your control instead of ours.

Request list templates on project templates: stop rebuilding client request lists

A project template can now carry one or more client request list templates. Create a project from that template and the request lists come with it, already built. The same request list template is reusable across as many project templates as you need.

Why this matters

If your 1040 season runs off project templates, you were still building the request list on every one of those projects by hand. That work is gone. And when the list changes, whether it’s a new document requirement or a reworded question, you update the request list template once instead of chasing every project that came from it.

Enhancements & minor updates

Payments and collections

  • Client portal payments confirm right away: Paying an invoice in the client portal completes without delay, and the invoice moves to paid as soon as it does.
  • Invoice emails follow your exclusions: Clients you’ve excluded or made inactive stay out of invoice email sends.
  • Collections statements escalate through every aging milestone: Invoices aging past 60 and 90 days receive their follow-up statements on schedule, with the tone escalating as they age.
  • Clearer Smart Statements aging buckets: The explanatory text on each aging bucket describes how credits and payments are reflected in it.
  • Statement preview tells you what to fix: Preview a statement when no billing contact has a valid email and Aiwyn names the problem, so you know which contact needs an address.

Engagement Letters

  • Batch create multi-entity engagements. ‘Include all clients in a group’ is available in the batch creation screen. Each engagement automatically includes every client in the client group.
  • Complete letters for multi-client, multi-project engagements: Engagement letters show all content when the engagement includes additional clients and several projects
  • Multi-word values now fill in correctly.  When a snippet pulls from a client field containing more than one word, the correct value was not being shown. Multi-word values now work exactly like single words.
  • Display-if conditions save correctly. When you open a block with a conditional rule and switch it between ‘And’ and ‘or’, that change now saves correctly. If you built rules before this release, it’s worth a quick look to confirm they read the way you want. 
  • Faster client selection. In the Add Clients window, click anywhere on a client’s row to select them, not just in the checkbox. 

Practice

  • Timesheet exports respect your filters and format: Exports carry the filters you’ve applied to the table and download in the format you pick, CSV or Excel.
  • Time detail on the first invoice preview: Previewing a draft invoice with time entries attached shows the time-detail page on first load.
  • Gross receipts tax across group draft invoices: On multi-client group drafts, gross receipts tax calculates across the whole group and saves with the draft.
  • Manual payment dates save as entered: Check and ACH payments recorded in AR keep the Transaction and Deposit Dates you enter, so they land in the right reporting period.

Client collaboration

  • Confirmation before linking a contact: Adding a contact from another client to a request list shows a confirmation screen first, since saving links that contact to the client. You catch the wrong contact before it saves.
  • Contacts connect as you create them: Contacts added while creating a request list item connect to the client automatically, matching how editing an item already works.

Coming to your firm: the Email Delivery Hub (pilot)

See the client emails Aiwyn sends on your behalf

The Email Delivery Hub shows you the client emails Aiwyn sends for your firm, including invoices, statements, and payment confirmations, along with what happened to each one: sending, delivered, opened, clicked, or bounced.

When something needs to go out again, you resend it yourself. Preview it first, adjust the subject line, add a note to the body, update the recipients, or send yourself a test before it goes. The original invoice or statement stays as it is. You can also filter to bounced and failed emails and export the table for your own delivery reporting.

You’ll find it in Aiwyn under Clients in the left navigation, as an Email Delivery Hub tab.

Why this matters

“Did the client actually get that invoice?” is a question that costs you a support ticket and a wait for a bounce report. The Hub answers it on screen, and lets you resolve a bounce without leaving Aiwyn.
