The Challenge

Good billing discipline, but no single source of truth

Accuity Advisors already prided itself on billing and collections discipline. AR aging was well under control. But the firm’s deeper gap sat underneath that discipline: no single platform to unify client data, automate client communications, power business intelligence, or give the team standing to have direct, timely fee conversations with clients before a project was delivered, not after.

Before Aiwyn, Accuity ran its practice on a common CRM and ERP business application. The interface looked the part, but the firm couldn’t get what it needed out of the data underneath it.

“We were on a [CRM and ERP] platform just prior to Aiwyn. From a user interface standpoint, it was good. It looked slick and modern, and our people liked using it,” said Cory Kubota, CEO of Accuity Advisors. “But we had a lot of difficulty extracting the data we needed to operationalize and manage the business, and data hygiene was very difficult to maintain.”

Billing ran differently from team to team, engagement letters were built, stored, and signed by hand, and Accuity had no single source of truth to standardize billing, budgeting, and forecasting across the firm. As the first member firm on Current’s technology roadmap, Accuity needed a platform built to scale with the network, not just patch the problems in front of it.

Why Aiwyn

One platform to house it all

Accuity chose Aiwyn Practice as the core platform for the firm. Speaking on stage at a Current technology event, Cory put it this way:

“Aiwyn is the chosen platform to empower and enable us to have that single source of truth: good, current, real-time customer data that we can turn into business intelligence. It takes a lot of the guessing and the art out of what we’re doing. We’re going to be making data-focused decisions. Aiwyn is the start. This is the core platform. It houses the data.”

Accuity selected Aiwyn Practice, Aiwyn Payments, Aiwyn Client Experience, and Aiwyn Engagement Letters, going all in on the full suite from day one.

The Implementation

Fast, hands-on, and built around the people who’d use it

Accuity’s implementation was fast, hands-on, and deliberate, going live in under two months. Aiwyn’s team came on-site during configuration, sitting alongside Accuity’s team to get the setup right from day one.

  • Zero manual data entry.  All client data, client codes, billing codes, and open engagements were imported directly. Accuity focused the migration on current, open engagements and outstanding AR, with historical records housed through Current’s DataBridge infrastructure.
  • A three-day final configuration sprint.  In a focused on-site session, Aiwyn and Accuity completed final configuration and identified enhancements, which Aiwyn delivered faster than Cory expected.
  • Process refinement built in.  The rollout doubled as a chance to rethink rate card structure, client list organization, and how services were structured in the system.

“It was a very fast implementation, and it was a little scary going into it,” Cory said. “What made it work was that early on we identified people in the firm who could be champions for it and dig into it. Aiwyn’s success team spent a full week on-site with us before go-live, working through the actual design side by side. That was priceless for us.”

The Results

Billing and collections: Automated accountability

Accuity’s goal is simple: bill at the beginning of the month, collect by the end. Aiwyn’s automated reminder cadence made that achievable, running escalating language Accuity wrote itself, including messages that tell clients directly: “This is your third reminder. We’re going to rethink our continuing relationship if you don’t pay.”

“That’s the kind of honesty you want to have with your client,” Cory said. “It’s got to be mutually beneficial, and Aiwyn is the tool we found to enable that relationship with our clients.”

Practice management: Leverage before delivery

The next phase of Accuity’s Aiwyn journey centers on workflow and budget-to-actual visibility. With time entry by task now live, Accuity can measure budget against actual in real time and raise pricing conversations with clients mid-project, while there’s still room to act on them. Wait until after delivery, and that conversation gets much harder.

Engagement letters: Faster rollover, smarter onboarding

Engagement letter rollover is now close to a one-button review. Aiwyn pulls in prior complexity, hours, and any changes from actual work, so subsequent-year letters need minimal manual effort: review, confirm, and send.

“It’s so logical. It makes sense from end to end, so it was really easy for us,” Cory said. “Previously we did engagement letters manually: storing them, chasing signatures by hand. Now it’s all in one place, and it drives our engagement performance.”

Integrations and ecosystem

A priority for Accuity was a platform that plugs into the tools it already runs. Aiwyn’s API integrations deliver:

  • CCH Axcess Tax. Client data updated in Aiwyn pushes automatically to Axcess, keeping both systems current without duplicate entry.
  • Ramp. Reimbursable client expenses processed in Ramp flow automatically into Aiwyn, so every billable expense reaches the invoice.
  • The Current ecosystem. Aiwyn is the designated practice management platform for Current’s single-source-of-truth initiative, with DataBridge serving as the historical data layer for firm records.

“Aiwyn’s flexibility and openness with other tools stood out to us,” Cory said. “They’re not claiming to be the end-all, be-all. They’re not a CRM system. They’re a practice management system, but they’re really good at what they do.”

Accuity’s Aiwyn journey is just beginning. With the core platform live and the team trained, the next phase focuses on:

  • Full workflow automation, using tasks to drive recurring project budgeting
  • Real-time realization reporting by client, project, and staff
  • Deeper business intelligence built on Aiwyn as the firm’s data foundation
