What’s new in Aiwyn Practice

Draft invoices and WIP are substantially faster

Four of the screens billing teams use most (the draft invoice fee allocation grid, the WIP page, timesheets, and time entries) all draw on the same underlying query. We rewrote it, added new indexes, and every one of those screens got noticeably faster. The change is most noticeable when opening a draft’s WIP grid on a firm carrying a lot of unbilled time.

This one needs no setup and no firm setting. Every firm has it.

Why this matters

Slow screens change how people work. Billing managers batch their reviews, dodge the WIP grid in busy weeks, and put off the clean-up that keeps WIP accurate. When the screen opens fast, there’s nothing to work around.

All Staff filter on Draft Invoices

Draft Invoices now offers an All Staff filter, so billing managers can review drafts across every staff member in one pass instead of stepping through staff one at a time. Counts and sorting behave correctly across the full list.

The filter is enabled per firm. Talk to your Aiwyn contact if you’d like it turned on.

Why this matters

Invoice review is a whole-firm job with a per-person interface. Seeing every draft at once means you catch the ones that would otherwise sit unreviewed because nobody thought to filter to that staff member.

Enhancements & minor updates

Engagement Letters

  • Staff engagements from the project: If your firm assigns partner and manager roles by project rather than client, you can now default batch created engagements to use the partner and manager from the projects you selected. If there is a discrepancy in names between the projects you select, this is flagged for you to correct without having to leave the screen.
  • Organize your book by client group: The engagement grid now has a Client Group column that you can sort, filter, and group by.
  • Signed letters carry the signer’s title: A contact’s job title from the client portal now appears in the Name and title block on the executed letter. If a job title isn’t defined, the signature line will simply show ‘Name.’
  • Clearer batch-creation review: You can now make inline changes to engagement partner and manager roles directly in the batch creation screen.
  • Bulleted lists of Snippets render better: A bulleted list inside a snippet no longer affects how the rest of the letter renders, and spacing below nested lists is corrected in the PDF.
  • One email address, separate signatures: Clients who share an email address through new multi-identity signing, so spouses filing jointly can each sign the engagement letter as themselves.

Practice

  • Invoices always carry an address: When an invoice billing contact has no address on file, the client’s address is used instead of leaving the address block empty.
  • WIP sorts by date: WIP entries attached to a draft invoice now default to date order.
  • Sorting works across every page: Sorting Draft Invoices by Projects, or Unbilled WIP by Service Lines, now carries through page two and beyond, and sorting by a status column works as expected.
  • WIP stays billable when a draft is cancelled: Cancelling a draft invoice no longer leaves WIP attached to it, so that time stays available to bill.
  • Inactive invoices read correctly: Inactive invoices no longer appear as Overdue.
  • Draft previews match the invoice: Draft invoice previews and stored line items now total to the same figure.
  • AR adjustments record reliably: Credit adjustments, write-offs, and debit memos recorded in AR save as entered.
  • Add task works from anywhere on the page: The Add task button in the top navigation opens a working side panel from the Projects view, the same as the button at the bottom.
  • Timesheet PTO reads accurately: Adding a new PTO entry to a day that already has submitted PTO no longer marks the whole day as Draft. The row reads Draft only while some hours are unsubmitted, and one Submit covers the day.

Integrations

  • Cleaner forwarded invoice emails: Invoices that arrive by email and are forwarded to your client no longer carry along every image from the inbound message, like signature logos and social icons. A new setting lets you filter attachment types or forward the invoice only.
  • Sturdier XCM sync: XCM sync now runs as a search phase and a resumable fetch phase, so a very large day no longer restarts from the beginning if something fails partway. Unchanged tasks are skipped, which cuts the number of calls made to XCM.
  • Multi-source staff import matches reliably: Firms importing staff from a second source alongside their primary system now match on staff ID first and email second, so a staff member whose email differs only by capitalization is matched rather than duplicated.

Coming to your firm: internal commenting on engagement letters (pilot)

Review and mark up a letter internally before it reaches the client

Internal commenting lets your team review a proposed engagement letter the way you’d review any other document. Staff comment on the template or the letter itself, flag changes for a partner to weigh in on, and resolve the thread once it’s settled, all before the client sees a draft.

Drafters can send an in-review letter back to draft themselves rather than waiting on an administrator, and comment notifications reach the people who need to see them.

Why this matters

Right now letter review happens in email threads and hallway conversations, so the reasoning behind a change lives everywhere except the letter. Put the discussion on the letter and the next person to open it can see why it reads the way it does.

About the pilot

Internal commenting is live with a small group of pilot firms while we refine it. If it’s something your firm wants, let your Aiwyn contact know and we’ll talk about the timing.
