What’s new in Aiwyn Payments

 

Apple Pay and Google Pay available now

Clients expect flexibility when making payments. That means more than just card or ACH or check. They want the convenience of digital wallets like Apple Pay and Google Pay, especially when paying from a mobile device.
Aiwyn is making both options available within the client payment experience.

  • Clients can pay with Apple Pay or Google Pay directly from the Aiwyn portal
  • No extra cost or setup required
  • Works seamlessly across desktop and mobile
  • Enables fast, secure payments right inside your Client Portal, using a modern, familiar experience

Why this matters
Digital wallets reduce the friction of manual entry and help clients complete payments quickly. That means better experiences for clients and fewer delays for your firm.

Rich Text Editor for Smart Statements

Firms can now format Smart Statement email templates with custom fonts, colors, and text styles in both the headline and message body. These customizations can be applied globally or, if you do not automatically send statements, to a single client’s Smart Statement email before sending. This enhancement lets firms deliver branded, easy-to-read communications that reflect their professional identity.

Why this matters
Branded email design creates a more professional appearance and helps clients quickly understand billing information with clearer communication.

Client Exclusion Status Clarity

The Collections Settings page in the firm portal now displays where client exclusions are managed, either in Aiwyn or in the firm’s practice management system. If a firm’s Smart Statement client exclusion logic is managed in its practice management system, Aiwyn automatically hides the in-app “Manage Excluded Clients” option from the Collections Settings page to prevent duplicate updates. This update helps firms maintain control over which system governs exclusions.

Why this matters
Clear system ownership reduces confusion for staff, prevents conflicting updates, and keeps billing and payment data synchronized.

Smart Statement Email Template Update

Smart Statement emails now automatically apply available credits to the Total Amount Due when a firm’s configuration includes Unapplied Credits, replacing “Unapplied Credit” with “Available Credit.” This new display provides a clearer, more accurate reflection of what clients owe after credits are applied. The configuration is enabled by default for all new and existing firms.

Why this matters
Displaying accurate totals eliminates ambiguity for clients and reduces questions about balances, which helps firms get paid faster.

What’s new in Aiwyn Engagements

 

Archive Engagements

Firms can now archive completed engagements while keeping them accessible for reporting and reference. Archived items remain searchable without crowding the active workspace, giving teams a cleaner view of active work while preserving full historical context.

Why this matters
Teams can stay focused on current projects without losing access to past engagement data for compliance or review.

Resend Engagements

Firm users can now resend engagement letters to clients who missed the original email. The new option sends an immediate copy with updated tracking and status visibility, eliminating the need for manual follow-up when an email is lost or overlooked.

Why this matters
Simplifying resends reduces delays, keeps engagement cycles on track, and helps firms maintain steady client communication.

Download Engagement Recipients

Users can export a CSV list of engagement recipients to review before sending. The export includes contact names, emails, and roles for accuracy checks, making it easy to verify contact accuracy and update details when needed. Users have an easy way to review names, roles, and email addresses to confirm accuracy before delivery.

Why this matters
Pre-send validation reduces errors and ensures the right contacts receive engagement letters the first time.

Multiple Add-On Documents

Engagements can now include multiple supplemental files, such as 7216 forms, consents, or acknowledgments. All attachments retain signature and tracking capabilities within the engagement, so each document can be tracked and signed within the same workflow.

Why this matters
Including all required forms in one workflow reduces manual emails and gives clients a complete, organized package to review and sign.

1-Click Access for Clients

Clients can now sign engagement letters directly from email without logging into the portal. Each link is secure, time-bound, and tracked in Aiwyn for audit purposes. This functionality applies to client contacts who are not required to provide a payment method when signing; billing contacts who must enter payment details will continue to receive a secure magic link instead.

Simplifying signing removes barriers for clients and shortens the overall engagement cycle.

What’s new in Aiwyn Experience

 

Uncategorized Files

Clients can now upload files that do not fit existing request categories into a new Uncategorized section. This allows firms to capture every document clients share, even when it falls outside standard request types.

Why this matters
This ensures no client submission is overlooked and keeps the firm’s document library complete and organized.

Documents Tab

A new Documents tab brings all project and client files into a single location for easy review. Users can search, filter, and download without navigating between screens. This gives firms a single, organized view of every document, making it faster to find, review, and manage files.

Why this matters
Centralized access helps teams work faster, reduces duplication, and improves visibility across client projects.

 

What’s new in Aiwyn Reporting and Analytics

 

Embedded Analytics

Embedded analytics within the Aiwyn portal for Practice, Payments, and Experience. Reporting & Analytics is not a bolt-on or standalone BI tool. It’s a core module inside the Aiwyn Firm Portal, embedded directly into the Practice, Payments, and Experience modules. Firms don’t need to manage a separate platform or new login; insights live where the work happens.

Why this matters
Firms have no shortage of data, but too often that data sits in disconnected systems, spreadsheets, or dashboards that no one checks. The result is slow decisions, missed revenue, and low confidence in reporting. Aiwyn Reporting and Analytics places live, role-based insights directly inside the firm portal where teams already work. Firms finally gain a shared, trustworthy view of performance across Practice, Payments, and Experience.
