What’s new in Aiwyn Engagements

 

Document workflow automation

Executed engagement letters are now automatically routed to the correct Document Management System (DMS). This eliminates manual uploads and keeps everything in sync from signature to storage, with full visibility into any success or error states along the way.

Why this matters
Firms no longer need to manage a separate workflow to get signed documents into their DMS. This reduces the risk of missed steps, cuts down on admin time, and ensures clean, consistent records.

 

Manual engagements without a contact email address

Firms can now create manual engagements even when a client doesn’t have an email address on file. Previously, firms had to manage these outside of Aiwyn or use placeholder emails to work around the system.

Why this matters
This update removes unnecessary friction and helps firms keep all engagement activity centralized without compromising data integrity.

 

Create engagement from client record page

Firm users can now create new engagements directly from a client’s record page. Key details like client, partner, manager, and contacts are automatically pre-filled, minimizing manual data entry and ensuring consistency across records.

Why this matters
Previously, users had to navigate through multiple steps and re-enter information that already existed in the client profile. This update streamlines engagement creation, saves time, and reduces the likelihood of errors caused by repetitive data entry.

 

Client group checkbox in batch creation

When creating a batch of engagements from the clients table, users now have the option to include or exclude all clients within a client group. This update restores alignment with the standard new engagement dialog, ensuring more precise control over batch creation.

Why this matters
Before this change, client groups were included by default, which sometimes led to unintentional engagement creation for clients that weren’t meant to be included. This added flexibility gives firms more control and helps maintain cleaner, more intentional engagement records.
 
 

What’s new in Aiwyn Portal

 

Response-level flagging

Firms can now review and approve individual files within a single request-list item, rather than having to accept or reject the entire item. This allows reviewers to flag only the specific documents that need revision, while leaving approved files intact.

Why this matters
Previously, firms had to reject entire submissions when only one file was problematic, leading to client confusion, repetitive back-and-forth, and longer revision cycles. With response-level flagging, firms can provide clear, targeted feedback, accelerating review times and improving the client experience.

 

Client contact permissions

A new permissions model allows firms to control what each individual client contact can see and do in the portal. Instead of granting broad, default access, firms can now tailor visibility and actions for each contact across modules like invoices, payments, and engagements.

Why this matters
This update strengthens data security, builds client trust, and gives firms the flexibility to manage more complex client relationships confidently.

 

CSV template import

Users can now import request lists and reusable templates directly from a CSV file. This allows entire lists to be created in seconds, drastically reducing the time spent on manual setup and ensuring standardized, accurate data entry.

Why this matters
Manually building request lists was time-consuming and error-prone, slowing down client onboarding and reducing adoption. CSV import makes it faster and easier to spin up structured lists, helping firms onboard clients more efficiently and consistently.

 

Aiwyn Reporting and Analytics (coming soon!)

Embedded analytics

Embedded analytics within the Aiwyn portal for Practice, Payments, and Experience. Reporting & Analytics is not a bolt-on or standalone BI tool. It’s a core module inside the Aiwyn Firm Portal, embedded directly into the Practice, Payments, and Experience modules. Firms don’t need to manage a separate platform or new login; insights live where the work happens.

Why this matters

Firms have no shortage of data, but too often that data sits in disconnected systems, spreadsheets, or dashboards that no one checks. The result is slow decisions, missed revenue, and low confidence in reporting. Aiwyn Reporting and Analytics places live, role-based insights directly inside the firm portal where teams already work, firms finally gain a shared, trustworthy view of performance across Practice, Engagements, Billing, Payments, and AR.
